Administrative Assistant

Responsibilities:
• Handle incoming calls on a multi-line telephone in a professional manner and efficiently direct callers to team members
• Promptly greet visitors in a welcoming manner
• Schedule and confirm teleconference and in-person meetings with clients and other advisors
• Manage administrative tasks for legal team, including client scheduling, scanning, copying, preparation of PDF packages and meeting preparations
• Regularly draft e-mails and cover letter correspondence to clients, governmental authorities, and fellow advisors
• Facilitate vendors and contractors who visit our building

Qualifications:
• College graduate with at least two years legal or other office experience
• A high level of confidence and a firm, friendly voice when speaking with clients on the phone and in the office
• A team player with a daily positive attitude
• Superior organizational skills and the ability to prioritize effectively and multitask
• Extreme attention to detail
• Strong written and verbal communication skills
• Good listening skills
• A warm and friendly disposition that will ensure our clients and other visitors are appropriately greeted
• Knowledge in Microsoft Office Suite and ability to quickly learn other firm technologies
• Typing speed of 50 wpm
